Last Updated: 2026-05-25
Crose Mechanical Heating and Cooling ("Crose Mechanical," "we," "us," or "our") is committed to protecting the privacy of visitors to our website and customers we serve. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to crosemechanical.ca and to any service we provide that links to this policy.
We follow the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) for the handling of personal information.
1. Information We Collect
We collect information in two main ways: information you give us directly, and information collected automatically when you use our website.
Information you provide directly:
- Name, email address, phone number, and service address when you fill out a contact form, request a quote, sign up for the Crose Comfort Club, or otherwise interact with us
- Equipment and home details you share so we can quote work accurately
- Communications between you and our staff (including SMS, email, and phone notes)
- Reviews or feedback you submit through our website
Information collected automatically when you visit our website:
- Pages viewed, links clicked, time on page, and general engagement patterns
- Device information (browser type, operating system, screen size)
- Approximate geographic location (city/region) inferred from IP address
- Referring website (how you got to ours)
- A unique anonymous identifier stored in cookies, used to recognize repeat visits
- For users signed into a Google account with Ads Personalization enabled, Google may associate your browsing on our site with your Google profile to support cross-device measurement and advertising — see Section 4 below
2. How We Use Your Information
We use the information we collect to:
- Respond to your inquiries and provide the services you request
- Schedule, deliver, invoice, and follow up on installation and service work
- Operate the Crose Comfort Club membership program, including renewal reminders and member benefits
- Improve the website and our service offerings
- Run advertising campaigns on Google, Facebook, and Instagram targeted to people in our service area (Owen Sound and the Grey-Bruce region)
- Send service reminders, newsletters, and promotional information only to people who have requested or consented to receive them
- Comply with our legal and contractual obligations
We do not sell your personal information to third parties.
3. Cookies and Similar Technologies
Our website uses cookies and similar technologies (including pixels and small JavaScript trackers). These are small data files placed on your device that allow us and our service providers to recognize you, analyze how you use the site, and measure the performance of our advertising. We use:
- Strictly necessary cookies — required for the website to function (e.g. WordPress session, security)
- Analytics cookies — Google Analytics 4 and ExactMetrics, used to understand visitor behaviour in aggregate
- Advertising cookies — Google Ads conversion and audience cookies; Meta (Facebook) Pixel — used to measure ad performance and to show our ads to users who have visited our site
You can control cookies through your browser settings. Blocking cookies may affect site functionality. You can also opt out of personalized advertising for specific platforms:
- Google: adssettings.google.com and tools.google.com/dlpage/gaoptout
- Meta (Facebook/Instagram): in your Facebook account settings under "Ads Preferences"
4. Third-Party Services We Use
We use trusted third-party services to operate our website and business. Each is bound by its own privacy policy and uses your data only for the purpose it was shared:
| Service | Purpose | Privacy Policy |
|---|---|---|
| Google Analytics 4 | Website analytics, audience insights, demographic reporting, cross-device measurement | policies.google.com/privacy |
| Google Ads | Pay-per-click advertising, conversion tracking, remarketing | policies.google.com/privacy |
| ExactMetrics | Enhanced event tracking for Google Analytics | exactmetrics.com/privacy-policy |
| Meta Pixel (Facebook & Instagram) | Facebook and Instagram advertising | facebook.com/privacy/policy |
| HousecallPro | Customer relationship management, scheduling, invoicing | housecallpro.com/privacy |
| WP Engine | Website hosting, security, and performance monitoring | wpengine.com/legal/privacy |
| Gem Webb Inc. | Our digital marketing partner who manages this website and our ad campaigns | gemwebb.com |
If you are signed into a Google account with Ads Personalization enabled at the time you visit our site, Google may associate your behaviour on our site with your Google account profile to provide cross-device measurement and remarketing. You can opt out at any time at myaccount.google.com → Data and Privacy → My ad center.
5. Sharing Your Information
We disclose personal information only in the following circumstances:
- With service providers listed above, who help us operate our website, run our advertising, or deliver our services
- With third parties you choose to engage (e.g. financing partners, brand-warranty processors) when you ask us to facilitate that connection
- When required by law — to comply with valid legal requests, court orders, or applicable regulations
- To protect rights, property, or safety of Crose Mechanical, our customers, or the public
- In connection with a business transfer (sale, merger, or restructuring), in which case the receiving party will be bound by this policy
6. Data Retention
To better serve you, we retain your customer records — quotes, installations, equipment details, service calls, and invoicing history — for the lifetime of your account with us. We use HousecallPro as our customer record system; having your install notes, model and serial numbers, prior service history, and warranty details on file lets us respond accurately when you call about service on a furnace we installed five years ago, support a warranty claim a decade after installation, or pick up where we left off if your usual technician is unavailable.
Canadian tax law (CRA) also requires us to keep certain billing and tax records for a minimum of 6 years from the end of the relevant tax year. We meet that requirement.
If you stop being a customer.
If you ask us to remove your account or terminate your relationship with Crose Mechanical, we will comply with deletion requests where we are legally permitted to do so. Some records may need to be retained for tax, accounting, audit, or warranty-claim purposes even after your account is closed. We will tell you which records are being retained and why if you ask.
Other categories of data we collect have shorter retention windows:
- Marketing contact information (newsletter list, ad audiences): retained until you unsubscribe or request deletion
- Website analytics data: retained for up to 14 months in Google Analytics, then aggregated
- Advertising audience data: typical maximum of 540 days, set per audience by Google's platform
You always retain the right under Section 7 to request access, correction, or deletion of your personal information, subject to the legal retention obligations described above.
7. Your Rights Under PIPEDA
Subject to certain exceptions, you have the right to:
- Access the personal information we hold about you
- Correct information that is inaccurate or incomplete
- Withdraw consent to our use of your information at any time, where consent is the basis for processing
- Request deletion of your personal information, subject to our legal and contractual retention obligations
- Receive a copy of your information in a portable format
- File a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe we have not handled your information appropriately
To exercise any of these rights, contact us using the information in Section 11.
8. Security
We use reasonable physical, technical, and administrative safeguards to protect personal information against loss, theft, unauthorized access, disclosure, or alteration. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
9. Children's Privacy
Our website is not directed to children under the age of 13, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us so we can delete it.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. The "Last Updated" date at the top of this page indicates when it was most recently revised. We encourage you to review the policy periodically.
